What are the functions of the individual eRecruiter system settings?

Read the descriptions of the tabs located in the eRecruiter Settings.

The eRecruiter system contains several different tabs related to system settings. Depending on your role in the system, you may have access to all or only some of them. The settings are divided into several categories.

Welcome Screen

The first thing you notice in the Settings is the welcome screen, which informs you about:

  • the role you have in the system,

  • who in your system is the Administrator (has the highest permissions, so you can contact them regarding certain matters),

  • the version of the system you are using.

Your Account Settings

Here you can set your business details such as your contact phone number, your candidate meeting location, and change your password.

Notifications

A very important tab where you can configure what notifications you would like to receive and through which communication channels. Additionally, you can add an auto-responder here for when, for example, you are on vacation so that candidates are informed about your absence.

Opening a project

Form

In this tab you can:

  • disable simple application for all recruitments,

  • create a greeting that can later be placed in application forms,

  • in the Visual Identification tab, the system administrator sets the banner and leading color in the application form,

  • Question Library – here you will find questions that were added to the library during the creation of application forms. You can also add/remove questions from the list,

  • Security – as part of form security, you can enable an additional field “Confirm email address”,

  • Tracking Codes – details here.

Clauses and Consents

Here you manage clauses, consents, and the default data processing period. In the “Processing Time” section, you can enable automatic deletion of candidates.

Locations*

In this tab, you can add locations that you can use when creating multirecruitment.
*Option available from the Pro Premium system version.

Publication of Job Ads

Job Ad Templates

In this tab, you will see the contents of job ads that have been saved as templates so that you don’t need to rewrite information from scratch during subsequent postings. From this level, you can also add and remove templates.

Job offers sharing

In the "Link Sources" tab, you can see the publication sites for which links to eRecruiter application forms are generated. It is also possible to add and remove publication sites.

The "Multiposting" tab allows you to enable the option to publish job ads across various paid and free publication sites.

In the "Portal Access" tab, you can enable the integration of your account with the OLX account.

If you wish to use publication on paid portals and integration with OLX, please contact your eRecruiter Account Manager.

Pracuj.pl wallet

Here you can check the number of available job post credits and add-ons to use on Pracuj.pl (after prior integration).

Easy Project Management

Project Stages

In this tab, you can add any number of custom recruitment stages that will allow you to better reflect your recruitment processes. Remember that you can decide which stages will be visible in individual recruitment projects.

Message Templates

Here you have access to ready-made and custom email templates, as well as SMS message templates.

Tags

You will find a list of tags – keywords that can be added to candidate applications to make them easier to find later in the entire database. You can also add and remove tags here.

Meeting Locations

A very important tab if you use eRecruiter to send meeting confirmations to candidates. Here you can add all your candidate meeting locations, which will be visible when scheduling an appointment.

Candidate Card

In this tab, the system Administrator can configure the security settings for sending Interactive Candidate Cards. It is possible to secure the cards in two ways:

  • With a password – securing the card with a password means that the password will be sent to the card recipient in a separate email. Viewing the cards will be possible only after entering the one-time password. This protects the card from being viewed by unauthorized persons if someone forwards it to the wrong recipient.

  • Setting the card preview expiration period – the card’s validity date defines how long from the moment of sending the recipient can view the candidate cards. After the selected period has expired, the card will no longer be available for preview.

Note! We recommend enabling both security measures to prevent sharing candidate data with unauthorized individuals.

Onboarding

If you have access to the Onboarding Module, as a system administrator you will configure access to the Onboarding tab and expand permissions to include creating onboarding paths and editing message templates within onboarding. You will also grant permissions to other users to view all individuals in onboarding, not just those assigned to them.

Intelligent Features

In this tab, you can disable the “Recruiter Assistant”, “AI Preselection” and "Report analysis".

System in Your Company

Users

A complete list of all users in your system, along with information on their current role and the number of access points available.

Log in

In this tab, you can change the password creation criteria for system access for all users and review the option of domain login.

Company Departments

In this tab, you can reflect your company’s internal departments, which can later be selected when creating recruitment projects.

Integration with eRecruiter

Here you will find information about the API that allows you to integrate our system with external tools used in your organization.

Data

Candidate Data Export

An option that allows you to export all candidate information from the system (only the Administrator has permission to generate this data).

Note! Please do not generate test data exports. If you want to learn what the export includes, contact your eRecruiter Account Manager.
