The process described below is available exclusively to users with the Administrator role in the eRecruiter system. In order to enter the Vacancy Module, click the “Business Account” in the system’s main menu and open the “Vacancy” tab.
Creating a vacancy application template
Before you submit a vacancy request, you need to create an application template. In the “Templates” section, you can find the “+ Add an application template” button.
If you already have some templates, you can create a new one by copying another template:
Every template needs to have a unique name. It will be visible only to the users submitting a vacancy request. When assigning recruiters to the project, you can decide who can submit a vacancy application using a given template. You can assign multiple recruiters to a single template. One recruiter may have access to multiple templates.
Note! In this case the term “recruiter” does not refer to the role assigned in the system. It refers to a person having a username and password to the eRecruiter system. Every person authorized to log in to eRecruiter will be displayed in the list of recruiters you can assign to the project.
The “Instructions” field is optional; you can use it, for example, to give some instructions or guidelines to the applicant or to present some important internal regulations.
The “Additional information” section enables you to create a questionnaire in which the person requesting a vacancy will be able to enter all the required details. You can create any number of questions using the following options:

TIP: If you want to add more than one file on the template, you need to add more "file" type fields. For example, if you need two files on the template, add two "file" type fields. Be sure to describe what type of file it is.
In the template, you can also predefine the people who approve the application. These people will be copied to each application using this template. You can block the editing of the people who accept with a special slider ("Block acceptance editing). If you do not block it, the person filling out the application will be able to edit the indicated approving persons.
Application approval levels
A completed application is sent by electronic mail to the selected approving persons (indicated in the “Application acceptance” section), by whom it can be approved or rejected. You can divide such mailing according to approval levels, i.e. the number of levels of your organization that an application must go through. You can set any number of approval levels.
The application is sent in the following order:
if every person from level 1 approves the application, only then the application is sent to the people on level 2;
after every person from level 2 has approved the application, the application is sent to the people on level 3, etc.
If you set this value at 0, the application will be approved automatically after it is submitted.
You can also leave a comment for the approving person to make your communication with decision-makers easier. This comment will be included in the email message with an application approval request.
Editing and deleting an application template
A saved vacancy application template can be edited exclusively by the Administrator of the eRecruiter system using the pencil icon in the section containing all the available templates. Changes made through such editing apply only to new applications and do not affect the applications already submitted.
A template can be deleted by the Administrator only. Deleting a template does not affect the applications already submitted.
