Application Review functionality in the Business Account from the perspective of a Business User

Find out how to review candidates’ applications using the Business Account

Business Account is a new space in eRecruiter that enables you to submit applications for hiring a new employee, evaluate job applications and/or carry out specific onboarding tasks (if your company uses the Onboarding Module in eRecruiter).

What does the Business Account contain?

It contains all modules and functionalities that enable the collaboration between the HR teams and other employees, e.g. hiring managers or people involved in the onboarding process.

Currently three functionalities are available in the Account:

  • Application Review — a new method of job application evaluation by the managers replacing the Candidate Card, described in detail below.

  • Onboarding Module for managers — a part of the Onboarding Module where superiors can monitor the onboarding of newly hired employees and carry out the tasks assigned to them.

  • Vacancy Module — allows you to submit and accept applications for hiring a new employee.

We are planning to expand the Business Account with more collaboration-facilitating functionalities and we are open to our clients’ ideas!

Who has access to the Business Account?

If you are a hiring manager or collaborate with the HR team, you probably have a Business User role assigned in the eRecruiter system. For such users, we have created the Business Account — a dedicated space to submit applications for hiring a new employee, review candidates’ applications, monitor onboarding of their newly hired employees and track completion of the related tasks.

To log in to the Business Account, you need an activation link (read more about it below) sent to you by electronic mail. You receive such a message when someone submits candidates’ applications to you for review for the first time or indicates you as a superior of a newly hired employee. Click the button in the message to log in to the Business Account for the first time.

The menu has maximum three tabs: Application Review, Vacancy and Onboarding. The Application Review functionality is free and available to everyone. If your company has not purchased the Vacancy Module or Onboarding Module, these tabs contain only the information materials related to these functionalities.

How do you use the Application Review functionality?

Check your e-mail box for a message containing an activation link. The title of such a message is “Make yourself comfortable in eRecruiter”. Click the link and proceed to logging in. You will be asked to set your password for the first time.

Logging in

To log in to the Business Account, click the link: https://system.erecruiter.pl/business. The Business Account is your working space, so it is good to save this link in your web browser’s bookmarks. You can also enter the Business Account by clicking the “Review applications” button in the e-mail notification you receive after someone from the HR team submits new applications to you for review.

Log in using the same e-mail address to which you receive notifications. Typically it is your business e-mail address. When you log in for the first time, set your password. If you wish to change your password later or you forget your password, use the “I don’t remember my password” option in the log-in screen.

TIP: Don’t want to enter the password each and every time? Many companies enable their employees to use a password manager application. We recommend you to use it. You can also save your password in your web browser, but remember to ensure compliance with the security rules imposed by your company.

The last option is convenient domain-based authentication with the credentials you use to, for instance, sign in to your e-mail box. Ask the eRecruiter system Administrator in your company if such a functionality is enabled in your organization. If it is, the Administrator will instruct you how to use your data to log in to your business account. If you do not have such an option, it might be good to encourage the Administrator to contact our technical support and configure it.

Notifications

You can start performing tasks in the Business Account only after you receive your first applications for review. You will be notified by e-mail each time you receive new applications.

There are four types of messages a Business Account user can receive:

Activation message after the access to eRecruiter has been granted

This message is sent only when the recipient has not been a system user (other than a Business User) and has been added for the first time upon sending the application. The message contains an account activation link.

One-time message.

Welcome message in the Business Account

This message is sent to every person who uses the Business Account for the first time. It contains tips about using the Account and links to detailed contents available in the Knowledge Database.

Notification about applications submitted for review

This message is sent every time a recipient gets one or more applications for review. After clicking the “Review applications” button, the recipient is directed to the Business Account log-in page and can view the submitted applications. If the recipient takes part in several recruitment projects, a separate message is sent for each of them.

Notification about new notes

This message is sent to every person involved in the recruitment process when anyone from the team adds a new note to the application.

List of applications submitted for review

After clicking the “Review applications” button and logging in, go to the “Application review” tab in the menu. A list of applications submitted for review by your recruitment team will be displayed. The list does not include all candidates who have submitted their applications, but only those selected by the HR team.

In the top left section below the main menu, you can see the name of the position you are recruiting candidates for. Are you involved in more than one recruitment project? Click the name to view the list of all your processes. Click the selected name to view applications from this particular recruitment project.

On the right, you can find key statistics of your involvement in the recruitment project. The presented figures from left to right are as follows:

  • Percentage of applications you have reviewed — here you can check if the HR team has received your decision for every application submitted to you for review. Try to achieve 100% — it will make your collaboration more effective!

  • Upcoming meetings — the number of your scheduled meetings with candidates in this particular recruitment project.

  • Past meetings — the number of completed meetings with candidates in this particular recruitment project.

Above the list of surnames of candidates, you can find the total number of applications submitted to you for review in the course of this process. If there are more of them, the list will be divided into several pages with navigation links below the list.

Above the list on the right, you can find a search box. Enter a part of the first name or surname of the applying candidate to quickly reach their profile. This functionality is useful, for instance, before a meeting, when you want to review the most important details of the person you are about to meet.

On the right side of the search box, you can find the available filters. You can filter candidates according to: applications pending review, positive decisions and negative decisions. You can use one or more filters at a time. When you select the criteria, click “Filter” to confirm your selection; click “Clear filters” to quickly disable all selected filters.

The list of applications contains the basic details of a person and their status in this specific recruitment project:

  • First name and surname

  • Availability specified in the application form (if it contained such a question)

  • Recruitment stage set by the HR team (e.g. “New”, “CV analysis”)

  • Rating on a scale of 1 to 5 given by the HR team

  • Your decision 👍/👎 made after the application review

Click a given person to view their application and details.

Overview of an individual application

After you enter a detailed overview of an application, you can learn more about the candidate.

In the top horizontal bar (so-called key details section), you can find the information presented in the list of applications and the candidate’s contact details. Below you can find two tabs:

  • Documents — all files sent by the applying candidate: resume, portfolio, other required attachments. Click the drop-down list under the tab name to access a selected document.

  • Form responses — the most up-to-date responses given by the applying candidate in the questionnaire drawn up by the HR team.

Under any tab, you will always find the notes section on the right. It contains notes added by the HR team. You can also add your note, clicking the “+ Add notes” button. Your note will be visible to all users having access to this application.

Reviewing an application

After you review an application, rate it by clicking the “Positive decision” or “Negative decision” button on the right of the key details section. Your decision will be communicated to the recruitment team. Don’t worry, it will not be sent to the reviewed candidate.

Want to change your decision? Click the “Change decision” button next to your current rating and rate the application properly. However, remember that you cannot delete your decision entirely.

Viewing the remaining applications

You do not have to return to the list to view the remaining applications. At the top of the application window, you can find the navigation bar, where you can click to view the next person. Simply use the arrows in the top right corner. You can also use the arrow keys on your keyboard.
