Are you involving line managers in the recruitment process and want to send them CVs of candidates you recommend in a secure way? Use the Interactive Candidate Card.
What is an Interactive Candidate Card?
The Interactive Candidate Card allows you to send selected candidate applications directly from the system to a specific recipient (or multiple recipients) of your choice.
The manager receives an email with links to the applications. By clicking the links, they can access the candidate’s information without needing to log into the system. They can review documents and form responses from anywhere, evaluate applications, read general recruiter notes, and add their own notes, which will be visible in the system. The manager’s actions are tracked in the application list within the recruitment in the system – you can see whether they opened the Interactive Candidate Card, how they evaluated it, and what notes they added.
Note: Using the Interactive Candidate Card does not exempt you from creating a separate data processing procedure – it should take into account that applications are sent via the eRecruiter system.
How to send candidate cards to managers?
Go to the specific recruitment and select the candidates whose cards you want to send to managers. Then click the Submit applications for review button.
A window will open where you can select the email addresses of the recipients you want to share the candidate documents with. You can also include a comment on the applications, which the recipients will receive in the email with the links to the cards.
If the recipient you want to send the Interactive Candidate Cards to is not on the list, you can add them manually. Finally, click the Send button. Done!
Note! If this message appears when adding a new recipient for the Interactive Candidate Card, the system Administrator will need to verify the availability of user slots.
After sending the Interactive Candidate Card, the following icons will appear next to the candidate depending on the action taken:
A crossed-out eye on a black background – indicates that the card has been sent to the manager but has not yet been viewed.
An open eye on a black background – indicates that the card has been viewed by the manager but has not yet been evaluated.
An open eye on a white background – indicates that the card has been sent to yourself.
A thumbs-up indicates that the candidate has been accepted, and a thumbs-down indicates that the candidate has been rejected.
Important: An Interactive Candidate Card is valid for 14 days by default. The system Administrator, or the eRecruiter Account Manager upon the Administrator’s request, can change the active period to 7, 21, or 28 days. This change applies to the entire company account, not individual recruitments. After this period, access to the Interactive Candidate Card expires, and it must be sent again to the manager. While the limited time can motivate managers to respond faster, it also helps ensure the security of candidate data processing.
An additional security feature for the Interactive Candidate Card, which can be enabled by the system Administrator or the eRecruiter Account Manager, is a password. Protecting the card with a password requires the recipient to enter a one-time password, which will be sent to them in a separate email. This prevents unauthorized third parties from viewing the card if it is forwarded to someone else.
Automatic sending of the Interactive Candidate Card
As part of HR Workflows automation, the process of sending the Interactive Candidate Card to the manager can take place automatically. Once the automation “Send Interactive Candidate Card to Manager” is enabled, evaluating a candidate with a score of 5 (or lower — depending on your configuration) will trigger the system to automatically send the IKK to the designated hiring manager.
No manual action from the recruiter will be required.
To enable this automation, go to the HR Ecosystem > Automations tab and click Enable on the corresponding tile:
Once you’ve configured the automation, go to the specific project and click on Automations settings. After filling in the Manager email field and saving the changes, the automation will be activated.
This solution saves you time and speeds up the decision-making process by giving the manager quick access to the best candidates.
