In the eRecruiter system, you have the option to add your own recruitment stages, which will help you work more effectively and efficiently with candidate applications. Custom stages fall into several different categories, which you can read about below.
Note! This option is available to both Administrators and Recruiters. Keep in mind that if you edit/add/delete a stage, it will affect your entire recruitment process, and all users of your system will see the change.

Standard
Rejection
Employment
Job proposal
Interview
Message
What are the characteristics of each stage type?
Standard
This is a basic stage that you can use if you don’t want to attach an additional message template to it. It defines the stage of the recruitment process the candidate is currently in and also informs you about your progress in the project.
Rejection
If you classify your new stage as Rejection, you will be able to:
Reject selected candidates from the ongoing recruitment,
Indicate the reason for rejection,
Send automatic messages to candidates using your own or predefined message templates.
When you select this stage, the system will automatically suggest the default message template as the preferred option. You can change this by expanding the template list and selecting your own template.
Employment
This type of stage allows you to define and distinguish between different types of employment.
This stage functions similarly to the system stage Employed, and once selected, you can:
Set the candidate’s start date,
Send a message to the candidate and other system users,
View recruitment statistics such as duration, number of candidates, etc.,
Close the recruitment or keep the project active.
TIP: Remember that you can have multiple Employment-type stages in the system.
Job proposal
This stage functions similarly to the system stage Job proposal.
It allows you to conveniently define your own stages.
Once this stage is selected for a candidate, you can:
Enter the proposed salary,
Fill in information about additional benefits,
Send a message to the candidate.
You can have multiple Job proposal-type stages in the system.
TIP: If you have extended reports in eRecruiter, this stage will also be included in KPI calculations.
Interview
This type of stage allows you to invite candidates to recruitment meetings, and also enables you to:
Schedule meetings in the system calendar and Outlook,
Invite additional company participants to the meetings,
Send messages to candidates using your own templates.
When creating a custom Interview stage, there are two fields to select from: one for the template used for standard meetings and a separate one for online meetings.
The template for an online meeting must include the smart field {Link to online meeting}. By default, the system will use the pre-made template Online interview confirmation, which can be replaced with any other template of your choice.
When you select this stage, the system will automatically suggest the default message template as the preferred option. You can change it by expanding the template list and selecting your own template.
Message
You can use a Message stage when you want to send an email to a candidate from the stage change that is neither a meeting invitation nor a rejection notice. This allows you to attach an appropriate message template to the stage, which you can define yourself in the system.
Important! When creating new message templates and attaching them to a stage, you are affecting candidate communication. Make sure to agree on the content of the templates with your team beforehand.
How to add a new custom stage and assign its type?
If you want to add your own stage, go to Settings, then navigate to the Project stages tab and click Add stage.
In the next step, name your new stage and assign it the appropriate category. Confirm your action by clicking Save.
For the Message, Rejection, or Interview stage, select the message template you will use.
You can organize all stages so that they appear in the order that suits you best. This order will later be reflected in the stage list for candidate applications.
On the recruitment card, select which stages should be displayed for candidates in a given project. You can assign different stages depending on the project.
The stages previously selected on the recruitment card will appear in the stage list for the chosen project:
Can I edit a stage?
Yes, but not everything can be changed. You can change the stage type (e.g., from Standard to Message) by clicking Actions → Edit for the stage in the settings. You can also change the message template attached to the stage. However, you cannot change the stage name once it has been used for any candidate.
